How do I create a new shipment?
Open Shipments from the left menu and click New Shipment. Pick an existing client, enter the invoice number, and click Create. You land on the shipment detail page, where you fill in the Overview, add items, and apply the logistics adjustments.
What's required before saving the Overview tab?
These fields are mandatory before the Overview will save: Vessel Name, Voyage No., Loading Port, Port of Discharge, Container No., Seal No., B/L Number, B/L Gross Weight (KG), B/L Measurement (CBM), and the Exchange Rate (CNY → USD). Anything missing is highlighted when you click Save Changes.
How do I import items from a factory Sales Note?
Open the shipment, go to the Items tab, and click Import from Sales Note. Upload the factory's Excel file (.xlsx) — the system detects the format and parses item descriptions, cost prices, carton dimensions and supplier details. Existing items are replaced. Large files with many images can take 2–3 minutes.
What are CBM Adjustment and Weight Balance?
On the Logistics tab: CBM Adjustment proportionally scales each item's carton volume so the total matches the BL-declared CBM, and Weight Balance distributes the BL gross weight across items proportionally. Both must be applied before a shipment can be approved. Click Preview to review the changes, then Apply to save them.
How do I approve a shipment?
Once the Overview is complete, items are added, and both CBM Adjustment and Weight Balance are applied, click Approve Shipment at the top of the shipment page and confirm. Approved shipments generate immutable reports stored securely in the cloud.
What reports are available for each shipment?
Five report types: Invoice, Packing List, Packing List with Pictures, Sales Note, and Summary. Use Download Report on the shipment page for individual files, or the Reports page for batch downloads including an All-in-One consolidated file.
What user roles are available, and what can each do?
Three roles:
- Owner — full access: create and approve shipments, set prices, download all reports, manage clients.
- Marketing — create shipments and manage item descriptions and dimensions; cannot set prices or approve.
- Logistics — apply CBM adjustment and weight balance; focused on the logistics workflow.
Can I delete an approved shipment?
Yes. Owner users can delete any shipment regardless of status, including Approved ones. Deletion is permanent and removes all associated items, payments and generated reports. Use the Delete (trash) icon on the shipment page and confirm.
How do I change my password?
Click the account icon in the top-right of the app bar and choose Change Password. Enter the new password and confirm — you stay signed in after the change.
